Sub-Table Maintenance
Sub-Tables are simply a convenient way to group Sub-Accounts. A Sub-Account is a way to expand an account number (we’ll get into that next). All Sub-Accounts must belong to a Sub-Table. An account can only have one Sub-Table attached to it. However, a Sub-Table can be attached to many accounts. For example, you may have a Sub-Table for your customers. This Sub-Table can then be attached to AR accounts, Income accounts, etc. so it could be used over and over.
A common example is the Vendors Sub-Table, which contains the Sub-Accounts for Accounts Payable Vendors. When you choose the Accounts Payable account, you will also have to select a Sub-Account from the vendor table.
NOTE: It should be noted that the Sub-Table itself is not coded on each individual transaction.
To add a new Sub-Table, click on Add and enter the Sub-Table number and description.
Check which tabs are to be displayed in Sub-Account Maintenance.
NOTES FOR A/P OPTIONS:
- The County box adds the ability to show/edit the County code in the header of Sub-Account Maintenance. The look-up/display of the county name requires the Sub-Account's state code as defined in the address.
- Separate 1099/Payment Address Sub-Table: Create a new Sub-Table for the 1099 or Payment (see example below), then use the drop-down to select the appropriate Sub-Table. This will open additional fields in Sub-Account Maintenance - A/P Options tab - Addresses sub-tab. When a 2nd address is created in AP Sub-Account Maintenance, a Sub-Account will also be created in the additional Sub-Table.
Auto-Assign Sub-Account # - Rarely Used, designed for high-volume Revenue Distribution companies using a numeric owner number. The Next Number Generator assigns the next Sub-Account. The Next Number can be changed via the Utilities Menu. The key value is GLS- + the Sub-Table.
When setting up a new company a few common Sub-Tables will be already be predefined. They are:
